HP LaserJet Pro MFP - Requirements when configuring the outgoing email profiles, email options, and email address book fields for the Scan to Email feature

When setting up the Scan to Email feature, you must enter information in the outgoing email profiles, email options, and email address book fields. This document contains information about these fields, including the maximum length and valid input values that are required for each.

For instructions on how to set up and configure the Scan to Email feature, go to Set up Scan to Email. After setting up and configuring the feature, you can use the control panel to scan to email. For instructions, go to Scan to Email.

Outgoing email profiles

The Scan to Email feature must have at least one outgoing email profile set up before it can be used. The outgoing email profiles can be set up, edited, or deleted using the printer's Embedded Web Server. Up to 20 outgoing email profiles can be saved.

The following table lists the valid input values and character lengths that are supported when creating an outgoing email profile.

NOTE:

Valid formats for the SMTP User ID can be entered as follows, but it is up to the SMTP server to parse out the domain.

  • Normal username

  • username@domain.com

  • domain.com\username (must be backslash \)

Email settings

Email settings can be configured using the printer's Embedded Web Server. You can configure default email settings (such as email subject and body text) that will be included in all email messages sent from the printer.

The following table lists the valid input values and character lengths that are supported in the fields for the default email settings.

Email address book

The printer will hold up to 50 individual contacts, or up to 49 group email entries, in the address book.

Groups cannot be added to groups to prevent circular references. The email address book can be edited from the printer control panel, or in the printer's Embedded Web Server.

Learn how to scan from the HP LaserJet Pro multifunction printer (MFP) using different software.

The printer is TWAIN-compliant and Windows Imaging Application (WIA)-compliant. The printer works with Windows-based programs that support TWAIN-compliant or WIA-compliant scanning devices and with Macintosh-based programs that support TWAIN-compliant scanning devices.

While you are in a TWAIN-compliant or WIA-compliant program, you can gain access to the scanning feature and scan an image directly into the open program. For more information, see the Help file or the documentation that came with your TWAIN-compliant or WIA-compliant software program.

Scan from a TWAIN-compliant program

Generally, a software program is TWAIN-compliant if it has a command such as Acquire, File Acquire, Scan, Import New Object, Insert from, or Scanner. If you are unsure whether the program is compliant, or you do not know what the command is called, see the software program Help or documentation.

When scanning from a TWAIN-compliant program, the HP Scan software program might start automatically. If the HP Scan program starts, you can make changes while previewing the image. If the program does not start automatically, the image goes to the TWAIN-compliant program immediately.

Scan from a WIA-compliant program

WIA is another way to scan an image directly into a software program. WIA uses Microsoft software to scan, instead of the HP Scan software.

Generally, a software program is WIA-compliant if it has a command such as Picture/From Scanner or Camera in the Insert or File menu. If you are unsure whether the program is WIA-compliant, see the software program Help or documentation.

Start the scan from within the WIA-compliant program. See the software program Help or documentation for information about the commands and steps to use.

In Windows 10 or 11: From the Windows control panel, click Devices and Printers. Right-click the name of the printer (it must be a multifunction printer with a scanner) and then click Start Scan. This opens the standard Microsoft WIA Wizard, which enables you to scan to a file.

You can also use the HP Smart app to scan documents and photos from the printer, capture items with the computer camera, or use the scan tools with files saved on the computer. By using HP Smart and pairing your printer with your HP account, you can access advanced scanning features, such as scanning to cloud locations.

Scan from your computer

Use the HP Scan software in Windows to initiate scanning from the computer instead of from the printer control panel. You can save the scanned image as a file or send it to another software application.

  1. Load the document in the document feeder, or on the scanner glass according to the indicators on the printer.

  2. Open the HP Printer Assistant:

    • Windows 11: From the Start menu, click All Apps, click the HP folder, and then select the printer name.

    • Windows 10: From the Start menu, click the HP folder, and then select the printer name.

    • Windows 8.1: Click the down arrow in the lower left corner of the Start screen, and then select the printer name.

    • Windows 8: Right-click an empty area on the Start screen, click All Apps on the app bar, and then select the printer name.

    • Windows 7: From the computer desktop, click Start, select All Programs, click HP, click the folder for the printer, and then select the printer name.

  3. In the HP Printer Assistant, select Scan, and then select Scan a Document or Photo.

  4. Adjust the settings if necessary.

  5. Click Scan.
