Learn how to create and use printing shortcuts in the printer software (in Windows). A printing shortcut is a collection of saved print settings that you can select with one click before sending a print job to the printer.

NOTE:

The print setting options will vary depending on the Windows version and Office applications or app.

Use a printing shortcut

Follow these steps to use an existing printing shortcut with the default print options in an Office application or app.

  1. From the Office app, select the Print option.

  2. Select the printer, and then click Properties, Printer Properties, or Preferences.

  3. Click the Printing Shortcuts tab.

  4. Select an existing shortcut from the from Printing shortcuts dialog box.

    To adjust any print settings to an existing shortcut, see Create a custom printing shortcut.

  5. Click OK to close the printer settings or properties dialog box.

  6. Click Print to print the job.

Create a new printing shortcut

Follow these steps to create a custom printing shortcuts in an Office application or app.

  1. From the Office app, select the Print option.

  2. Select the printer, and then click Properties, Printer Properties, or Preferences.

  3. Click the Printing Shortcuts tab.

  4. Select an existing shortcut from the Printing shortcuts dialog box as a base.

  5. On the right side of the Printing shortcuts dialog box, select the print settings for the new shortcut.

    NOTE:

    Always select an existing shortcut before adjusting any of the settings on the right side of the dialog box. If you adjust the settings and then select a shortcut, the adjusted settings will be lost.

  6. Click Save As.

    A small dialog box will display.

  7. Enter a name for the shortcut in the text field, and then click OK to save the shortcut.

  8. Click OK to close the printer settings or properties dialog box.

  9. Click Print to print the job.

Create and use watermarks when printing (macOS)

Follow these steps to add a watermark to printed pages when printing from macOS.

  1. Click the File menu, and then click the Print option.

  2. In the Printer menu, select the printer.

  3. Expand the drop-down list, or click Show Details, and then click the Watermarks menu.

  4. Select the Watermark option.

  5. From the Pages drop-down list, select whether to print the watermark on all pages or on the first page only.

  6. From the Text drop-down list, select one of the predefined watermarks, or select the Custom option, and in the text field, type a message that will display as the watermark on the printed page(s).

  7. Select additional settings for the watermark.

  8. Click the Print button to print the job.
